01 · Onboarding

A new client onboards themselves.

Onboarding a new client costs most practices about an hour of admin before anyone has given a scrap of advice. Folders, CRM, intake forms, the same details rekeyed over and over. Here is that hour, done in under ten seconds.

  • The client fills in the practice's own website enquiry form. That is the only human step.
  • A ten-folder client file tree builds itself, their name on every folder, matching how the practice already files.
  • Their details land in the CRM, on the pipeline, at the New Enquiry stage. Nothing typed.
  • Initiation documents generate and file themselves, each one listing what is still to collect.
  • One email to the adviser to say it is done.

There is no AI anywhere in it. Not one model saw a client's details. Most of the admin drowning a practice does not need AI. It needs to be built properly.

Recorded in one take. The client name is typed on camera, then appears in the folder titles, the CRM card and inside the generated documents.

02 · Ongoing service

Fee consent, chased by text message.

Consent season is the one job in a practice where a missed reply costs real revenue. This one sends the request, reads the client's reply and answers it, and records the outcome, with a person approving before anything goes out.

  • The consent request goes out by SMS from a dedicated Australian number.
  • The client replies in their own words. A question gets answered, a stop is honoured immediately, and a yes triggers the fee consent form for electronic signature by email.
  • Opt-outs run on a fixed rule that never reaches the model, so "stop" always means stop.
  • Round trip on a live reply: about four seconds.
  • Everything is hosted in Sydney. Client information does not leave the country.

Built and verified 4 August 2026. The recording covers the text conversation, which is the part practices find hardest to believe. The signing hand-off runs on the e-signature tool the practice already uses.

A real conversation on a real phone, in one run. The questions were typed live and nothing was scripted on the client's side.

03 · Intake and reporting

An assessment that scores and reports itself.

  • A written, personalised readiness report lands in your inbox within a minute or two.
  • Nobody touches it in between.

Every one of these runs on a sample practice built for the purpose, so nothing on screen belongs to a client. In a real engagement the same work runs in your document store, your CRM and your own forms, structured the way you already file.

A person approves anything a client sees

Nothing reaches a client without someone saying yes first. That is a design rule, not a setting, and it does not get switched off because a run is going well.

AI only where the job needs it

The onboarding build uses none at all. The consent build uses it for one job, reading a reply, and opt-outs are handled by a fixed rule that never touches a model. Restraint is the point.

Not an advice practice, and that is the point of showing it. Every website engagement gets the same treatment: a baseline taken before anything changes, one measurement window per phase, and a report the client can check against Google's own data.

  • Click-through rate 0.85% to 1.32%.The one number that was falling before the work started. Now more than half again as many people click.
  • Average position 27.7 to 14.9.Page three to page two. Two thirds of that came from the search work, before the site looked any different.
  • Online bookings doubled, 5 to 10.Small numbers across matching 13-day windows, so read the direction rather than the decimal. For an advice practice, five more self-booked enquiries a month is a new client a month on a modest close rate.
